Executive Management Administrator (Cmed CRS)
Job Description
Job Title: Executive Management Administrator (Cmed CRS) At interview Stage
Reports To: Chief Executive Officer
Department: Office Services
Core Responsibilities
To provide administrative and project support to members of the Executive Management Committee (EMC). Specific responsibility for assisting and co-ordinating projects for the Chief Executive Officer.
- To provide a high quality, reliable and effective administrative service to the CEO and EMC members as required
- To support in organizing work, schedules and projects with the rest of the organisation and internal/ external clients. Therefore this person must present a good image at all times
- The organisation of the telephone conferences and the face-to-face meetings, including venue, catering, travel and accommodation
- Preparation and distribution of minutes, collating and proactively following up to ensure their timely completion
- Co-ordination of special project or initiatives, sourcing information, analyses and report preparation
- Global interaction across Cmed offices and communication with senior levels of the organization. Maintaining confidential/sensitive information
- Typing, photocopying, collating papers, preparing agendas/ minutes/ documents/ presentations/ materials for Executive group and external meetings, and distributing written work, sometimes within tight time schedules.
Nature and Scope
Chief Executive Officer (and other members of the Executive, as agreed)
- Maintain calendars and schedule meetings to schedule available time to best advantage
- Provide dedicated support to Chief Executive Officer as required to include, but not limited to, coordinating travel arrangements, production of expense claims, support key projects and initiatives as required
- Co-ordination and production of Board information packs, with the Company Secretary
- To assist in producing high quality reports and presentations on behalf of the CEO to present to the Board, EMC, internally and externally.
Essential Work Experience And Qualifications
- The candidate should be qualified to Degree level
- An appreciation and understanding of the medical and technical terminology appropriate to the business would be desirable as this would greatly facilitate the fast production of reports and other documentation
- Minimum of 3 years of working within a corporate or professional business environment
- Internet/Intranet skills and strong knowledge of PowerPoint, Word, Excel

Work effectively and efficiently with internal partners in Cmed. Team player with strong interpersonal skills, capable of working within a globally diverse team across different time zones

- Ability to multi-task and prioritize workflow with minimal supervision. Ability to work on own initiative and effectively as part of the team
- A willingness to be flexible and adaptable in approach to work. Proactive and eager to learn new tasks and take on new responsibilities
